Club administrators and race officers who use Sailboat.Racing to publish race results, competitor information, crew details, or any other personal data are the data controllers for that information under applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
By publishing information through Sailboat.Racing, you confirm that:
- You have obtained the appropriate legal basis (such as consent, legitimate interests, or contractual necessity) for processing the personal data of all individuals whose information you are publishing.
- You have informed those individuals about how their data will be used and where it will be published.
- Publishing the information complies with all applicable data protection and privacy laws.
3. Rights of Competitors and Other Individuals
If a competitor or any other individual does not wish to have their personal information - including their name, race results, rankings, sail number, or any other identifying information - published on the Sailboat.Racing platform, it is the sole responsibility of the club administrator or race officer who uploaded or manages that data to take appropriate steps to honour that request. This may include:
- Removing or anonymising the relevant data from the platform.
- Contacting Sailboat.Racing support to request deletion of specific records.
- Notifying the individual of their rights and the steps taken.
Competitors and individuals wishing to exercise their data rights in respect of club-published data should contact the relevant club or organisation directly in the first instance.
4. Accuracy of Published Information
Sailboat.Racing is a publishing platform. We do not independently verify, audit, validate, or accept responsibility for the accuracy, completeness, timeliness, or correctness of any race results, handicap information, competitor details, or any other data published by club administrators or race officers.
We accept no liability for errors, omissions, or inaccuracies in published data. Any disputes about the accuracy of published information should be directed to the relevant club or organisation.
5. Information We Collect
We may collect the following categories of information:
Account information (for club administrators and race officers):
- Name, email address, and chosen username
- Club or organisation affiliation
Usage and technical data:
- Pages visited and features used (for service improvement and diagnostics)
- IP address, browser type, and device type (for security and service delivery)
- Session identifiers and authentication tokens
Publicly published data (uploaded by club administrators):
- Race results, series standings, and handicap information
- Competitor names, sail numbers, and boat class information
- Race schedules and event information
6. How We Use Your Information
We use the information we hold to:
- Provide, maintain, and improve the Sailboat.Racing platform.
- Authenticate and authorise account access securely.
- Communicate with account holders about their account, service updates, or material changes to these policies.
- Ensure the security and integrity of the platform and its users.

- We do not sell personal data to third parties.
- We may share data with service providers who help us operate the platform (for example, cloud hosting infrastructure via Amazon Web Services, and authentication services via AWS Cognito). These providers are contractually bound to protect your data and may only process it on our instructions.
- Race results and other publicly published data are, by their nature, made available to any member of the public who accesses the platform.

- Account data is retained for as long as your account is active, and for a reasonable period following account closure.
- Publicly published data (race results, competitor profiles, and similar) is retained until removed by the club administrator or until a valid data deletion request is received.
- Technical and security logs are retained for a limited period for diagnostic and security purposes.

- Access - request a copy of the personal data we hold about you.
- Rectification - request that inaccurate or incomplete data be corrected.

We take reasonable and appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access. However, no internet-based service can guarantee absolute security, and we cannot be held responsible for events outside our reasonable control.
12. International Data Transfers
Our platform is hosted on AWS infrastructure. Where data is processed or transferred outside the United Kingdom or European Economic Area, we ensure appropriate safeguards are in place in accordance with applicable data protection law.
13. Children's Privacy
Sailboat.Racing is not directed at children under the age of 13. We do not knowingly collect personal data from children under 13 without appropriate parental or guardian consent. If you believe a child's personal data has been published without appropriate consent, please contact us immediately so we can take appropriate action.
14. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the law, or the Service. Material changes will be communicated to account holders by email or prominent notice on the platform.
